Tagging Files With Windows Vista - It's Awesome!

(Please bear with me, this is a complicated post, and VERY long, but I hope it will be worth reading if you are looking for a complicated to explain yet very easy to use organizational system for your graphics)

 

I just bought a new computer with Windows Vista, and although I don't necessary recommend Vista to everyone, it does have some great tools for digital scrapbookers! Before, with XP, I had been using Picasa to view my pictures (I like the basic photo editing and that I can easily order pics directly from Wal-Mart - my preferred lab), and XnView to view my graphics. I added XnView because it can view PNG files without corruption of the image (which Picasa can't do) and because I could add descriptive tags to enable me to sort and view specific categories of graphics. Now, I spent a great deal of time figuring out a tagging system that works for me and the way I search for things, but I (thankfully!) did not spend too much time typing in these descriptive words because I knew I was getting a new computer soon.

 

First of all, let me share how I have my graphics organized in files on my computer. First, in my Graphics folder, I have different folders for each website I buy from (such as Scrap Girls). Each collection has its own folder within that folder, such as "Urban Love from Scrap Girls". I don't file by designer because I don't do any layout posting yet and because I think I can pretty easily figure out the designers, especially because I keep their collections together. I also have a Misc. Graphics folder in each website folder for freebies and other extraneous files. In my Graphics folder, I also have 3 more folders, "Zip Files of Purchased Graphics", where I keep all my zip files, "01 Alpha Previews", where I keep a copy of 1 letter of each alpha so I can easily browse through those, and "00 Graphics Previews", where I keep a Preview image of every collection. When I download a new collection, I am always sure to check to see if they included a preview image, and, if not, I right click on the preview image on the website and save the picture as a JPG file in the folder of the collection and copy another instance of the image to my 00 Graphics Previews Folder.

 

Okay, so I have my new computer now and want to share what I've found so far. Windows Vista replaces Windows Media Viewer with Windows Photo Gallery. Windows Photo Gallery is similar to Picasa (except it can't send prints to Wal-Mart --aarrgh!), BUT it can support the viewing of PNG files without corruption AND has fairly sophisticated tagging capabilities that are very user-friendly.

 

First of all, you can easily add an unlimited number of tags from the image closeup screen (and even the main screen). With xnview, in contrast, you have to click on the properties option to add descriptive words. It is very quick to add or remove tags and you can even see your recently used tags in a drop-down menu to choose from. You can also organze your tags in the traditional tree format, which can be very useful.

 

So, let me share with you my system and the tags I use. These tags make sense to me and the way I search for things, and use the words I use in my mind to refer to things, but I still think it's a great system and worth sharing. Right now, I have all my organizational tree kind of "flattened out" for reasons I will describe eventually, but let's get started.

 

First, all of my graphics tags are grouped under the main tag "Graphics". This means that every time I tag something, I have to be sure to start with "Graphics/" so that they stay under that tag and separate from the tags for my Pictures. But, because this program is so user-friendly, if I don't put "Graphics/" first, I can just drag that tag underneath the graphics tag at a later date (think of these as folders, not tags, and it will make more sense, but you do keep your original folders as well when you tag things). So, right now, I think of all of my graphics as in one of the following categories (just because this is the way I think): Papers, Accents, Frames & Photo Corners, Previews, Templates, and Samples. So every single item has one and only one of those tags. Think of those as my main folders under "Graphics" and under "Tagged by Type".

Next, when I use my graphics I would like to be able to browse them by colors and features, such as pinks, blues, hearts, or dots. An item can have any number of these tags, depending on what seems to me to be any significant feature I might search for in the future. I have not finished tagging all my graphics yet, so this list will grow substantially, but this is what I have so far.

 

Graphics

-Tagged by Colors & Features

---Aquas

---Blacks

---Blues

---Butterflies

---Browns

---Dots

---Easter

---Christmas

---Flowers & Leaves

---Glitter

---Golds

---Greens

---Hearts

---Lace

---Oranges

---Pastels

---Words & Writing (this tag goes on ANYTHING with a word on it, from Word Art to calligraphy in the background of a paper)

 

There will be many more, but you get the idea. Please don't hesitate to ask questions if you would like to explain something better. I am trying to type this fairly quickly and not take up pages and pages, so this might be a bit confusing.

 

So, a graphic can be tagged as "papers", "blues", "greens", and "flowers & leaves". And can be searched through any of those categories. All you have to do is click on a tag to see all the items with that tag or you can type in one or more tags in the search window on the top of the Windows Photo Gallery screen and all items with that combination of tags appear. Make sense? So, type "Pinks" and everything pink appears. Add the word "Papers" and only pink papers are before your eyes. Isn't that awesome?? But it does take a really long time to tag everything. But if you just keep up with your new stuff and do a couple collections every day or even every week, you'll eventually get through it all. Well, I'm hoping...

 

And there's yet a little more organization coming your way! Because although sometimes I want to browse ALL my brown accents, for example, more often, I am searching for a specific type of accent. So, I've added more tags under the "Accents" tag. So far, I've added the following:

 

Graphics

-Tagged by Type

---Accents

-----Borders

-----Buttons (this includes all buttons, brads, nuggets, etc. - anything small and round or square)

-----Stitches

-----Ribbons

-----Bookplates

-----Tags

-----Prongs

-----Text Spots (this is what i call anything like notepaper, tags, bookplates, etc. that seems good for adding text to it, for a title, journaling, label, etc.

 

Also, I have one category under Papers:

---Papers

-----Quickpages

 

So, as I hope you can see, a graphic will have a few different tags to help you easily find it. It could be a blue ribbon with a bookplate and be tagged as blues, accents, bookplates, ribbons, and text spots.

 

Gee, I hope this is all helpful to some of you and that it doesn't just sound like the ravings of a lunatic :)

 

I've also tagged all of the preview images for each collection with the name of the designer and the name of the website I bought it from.

 

One more thing. Even though I've described all these tags in a manner similar to a file tree, I've actually got all those tags only under the Graphics tag for now. This is so when I type in a new tag, I don't have to type Graphics/Tagged by Type/Accents/Ribbons, but instead just Graphics/Ribbons. Later, I can always drag the Ribbons tag underneath the other tags, but for now, it doesn't really matter if the smaller categories are within the larger ones. The main purpose in conceiving and explaining the system in that way is so I could be sure that I knew every graphic was accounted for, by at the very least it being an accent, for example, even if i couldn't be more specific.

I am very excited about the Windows Vista Photo Gallery and wanted to share what I've done with it, but I know this was a very long, confusing post, and I hope it was worth the time to read. I also hope I haven't breached any message board etiquette rules with such a long post, but I wasn't sure how else to explain everything. I know I have benefitted SO MUCH from what others have shared on these message boards, and I wanted to try to be of help to someone else.

Here's another nice thing about the way Windows Photo Gallery works: the tags are now part of the properties of the picture or image, so I imagine they will not be lost if I need to move the file in the future, such as to a new computer. :dancing_penguin: With xnview, I'm not sure how easy it is to transfer your work in writing descriptions.

Jo, I just found your old post about your organization system and I am so impressed! Your shortcuts idea is brilliant, and so versatile since it can be used with different Windows versions and is easily backed-up along with your filles. I don't know how I missed reading about your system before, but I probably would have done things your way if I had read about it before. Thanks for sharing! It seems like our minds work in similar ways!! :)

Ok - I need help!! I sat down to start tagging...wanted to reorganize everything with Windows Gallery (I just posted about using this vs. Bridge). Well, for some reason I can't see ANYTHING in my digi scrap folder in my pictures folder. Also, I even 'added' the folder to see...and nothing...I SEE nothing!! CAn someone help me figure out why? I feel like such a dimwit...I swear I'm completely computer literate!! lol.

I was in love with Windows Photo Gallery until I started getting pop-up messages regarding saying something like "symantec has blocked bloodhound.exploit.13 your computer is now secure". The message occurs every few seconds and doesn't stop. I researched it and found that it is a bug in the photo gallery which does not have a fix yet. There is no corruption of files or a problem - except the message. If anyone has any other info on this that I may have missed, please share. I'd love to be able to use the photo gallery! (There may be a certain file characteristic that causes this message. Take note as you add things. Maybe you can then delete the latest additions from the catalog if the message starts popping up and take care not to add a particular image. I added everything in a big bunch so have no clue!)

well, fullofsurprises, you made me hanker for the photo gallery again though i swore I was going to give up on it just yesterday! Anyway, yesterday, I removed a bunch of images from the gallery and, so far today, have not seen the pop-up message. It makes me want to take my own advice and completely clear the gallery and then add images a little at a time.

 

My problem - for the life of me I can't remember how to "remove from the gallery"! I just did this two days ago and now can't find the command anywhere. I thought it came up when I right clicked on a folder or image but not so. Can you help me out?

 

If I find the file type that causes the pop-up problem, I'll let you know!

I'd like to start doing this, but I am a little confused still... I can't find where to tag PNG files??? Or can you not do that?

 

And also... I don't really understand how you search by tags... Like I see where you can type in what tags you want, but I don't see what it does after that... Maybe I'm just really handicapped!

I can help you with your questions I think. Give me a bit to re-add some stuff so I can do it step by step byself and then I'll try to write some coherent instructions!

 

Actually I think I figured it out... I am really dumb thats all! HAHA! I wasn't even in Windows Photo Gallery... I was just exploring my files :) Helps to be in the right program! I see exactly how it works now... I'm good to go! HAHA! Thanks though :)

Have you imported the files into Windows Photo Gallery? You have to import the files (doesn't actually move them - just allows them to be displayed) to the gallery for them to show. Click on "file" along the top, then select import folder, then select the folder you want to import. HTH!

I copied my "Digital Scrapbooking" file to My Pictures, first. As all of my pictures from "My pictures" are already in the Gallery. Then I realised, they weren't there. So I 'added' My "Digital Scrapbooking Folder" thinking this would add everything....nope...didn't even expand. So I managed to add "Alphas" as a subfolder to Digital Scrapbooking Folder. STill can't see anything...I thought maybe I needed to add each individual jpeg/png w/in that file...but it doesn't even allow me to add anything past the subfolder "Alphas". I thought maybe it had to do with my copying and pasting the Digital Scrapbooking File from My Docs to My Pictures..changed the template format...still nothing. :(

 

Ok - wait, I'm rereading your msg a bit here. You said "import"...do you mean "add"...I tried the "add"...the "import" function seems to be for importing from your camera. Maybe you have a trick for this? Stumped. :(

I feel your pain! I'm getting a little frustrated with the whole organization thing. I can't decide between Windows Photo Gallery (like it but afraid I'll reload everything and the bug will come back!), Adobe Photoshop Album Started (free download I saw mentioned on a much earlier post), or the PSE organizer. Sigh....

 

Anyway, re: your add problem. First, I would put your files back the way you had them and start from scratch. There's no reason to actually physically move files to use any of these organizers.

 

Then, open Windows Photo Gallery and click on "file". From the drop down menu, select "Add folder to gallery". From the file options, select the file you want to add and click ok. The pictures in the folder should add to the gallery.

 

It sounds like you've done this and it didn't work? This is the part that has worked for me perfectly so I don't know what would cause the problem. But, I would start with moving everything back as it was (using Windows Explorer or whatever you use for this) and then starting over. Good luck - let me know if it works!

Yes, that was what I had been doing. Now, I've had some folders show...but oh my goodness the effort to make it happen!! It has to be easier than this?? :( I'm starting to think I may go back to sorting with bridge...or heck just stick w/ Explorer...I can add tags there...though its not quite the same. When I asked about Gallery vs. Bridge...there reallywasonly feedback about the Gallery...so here I am. ;) But, right off I can say I don't like the options for displaying folders with Bridge....sigh. Well, I'll keep at it. Thanks for your help!!

 

Oh and for some reason, Gallery wouldn't recognize the digi scrapfileI had in My Docs...only from My Pics...so Ihad to move it all. Must be a setting somewhere?I don't know....it all has me stumped atm.

Ok - not sure if you are still following this carych...but I thought I'd give you an update. So I 'think' I've figured out my problem with the Gallery...not sure why its being so picky BUT...don't care if I know the RIGHT way to do it. lol. I've found that if I click on my I create the digital scrapbooking file under "Folders" in the gallery, and click on it (in collapsed form I think) and then start 'dragging' the file individual folders from their locations to "Folders" ( a little '+' shows as you hover over "Folders"...) allowing me to add the files to the gallery. The "File/Add to Gallery" just didn't seem to be working...I think this could be that I was trying to 'add files' by just keeping "Digital Scrapbooking" main file highlighted was not adding to the main "Folders"...not sure..it doesn't really make sense but that 'seems' to be the issue. I'm thrilled...as honestly, I really like Gallery better. I like the hover preview and the way I can click on "alphas" and ALL of my collections are previewed if I like. :) How great is that?? Thanks for trying to help!!! I appreciate it!

...another quick question. Does Gallery every build the cache enough so that your files are just visible when you open it up? kwim? It seems to take a l - o - n - g time for eveyr little file appears. yawn. Hoping this is just temporary? I'm just trying to decide if I need to create a 'preview' file for each category (i.e. alphas, papers, etc. etc.). Was kinda only wanting to do this for the kits...as Gallery so wonderfully displays everything when you click on the root folder (e.g. alphas). SO exciting!! lol. Anyway, if I should always expect it to take so long (because there is so much) then I will go w/ preview folders too for each main subject. I really didn't know what I needed when I went with my current laptop...I was assured that what I bought would be enough (2gig ram w/ 1.86 processor). If I knew then what I do now...I would have looked for a bigger processor. ;)

 

So what am I looking at? hee hee.

I'm so glad you figured out how to add your files though that has me completely stumped as mine worked perfectly thru the "add folders" tab. As far as the cache, mine loads right away. It's almost like we're working in to different applications, isn't it???

 

I'll be interested to hear if you ever see the pop-up message. So far, I've seen it once and then it didn't show up again. When it does, I will cry!

Well, it's doesn't seem foolproof...STILL trying to do this. The way I was doing it yesterday...doesn't seem to work everytime. I'm sure its the operator. lol. Likely, I was doing this someway OTHER than what I thought. Though, 'add to gallery' definately doesn't work for me and I'm not sure why. It seems like such a simple application...but it seems like it's not as straight fwd for some reason. I shouldn't have to move things to Pictures to view....worse, I have to move them to the 'root' MY pictures to view....If I try to add a file from My Pictures/Digital Scrapbooking/Embellishments (for ex)....nothing shows in the gallery....BUT (and this is just silly) if MOVE that file to My Pictures...so now its My Pictures/Embellishments....it views...and then I move it back to the orginal location. And, yep, I can still see it in the Gallery. IT MAKES NO SENSE!!! lol. I try not to think about it too much because it may drive me over the edge (I'm barely hanging on as is. hee hee).

I have given up! The pop-ups came back. this has been a very discouraging process! :banghead::banghead:

 

This application has pop-ups, Adobe Photo Album doesn't show PNG files, PSE organizer slows down PSE - sigh. I searched the messageboard and found that many folks really like ACDsee. I had been trying to avoid something I had to pay for but, at this point, I just want this process done so I can go back to scrapping!

 

So, I downloaded the trial version last night and then was doing the catalog operation it recommends. It stopped due to some kind of error! I have given up! The pop-ups came back. this has been a very discouraging process! :banghead::banghead:

 

This application has pop-ups, Adobe Photo Album doesn't show PNG files, PSE organizer slows down PSE - sigh. I searched the messageboard and found that many folks really like ACDsee. I had been trying to avoid something I had to pay for but, at this point, I just want this process done so I can go back to scrapping!

 

So, I downloaded the trial version last night and then was doing the catalog operation it recommends. It stopped due to some kind of error! ARGGHH! :banghead: I was too tired by then to figure it out so I uninstalled it and will try again today. AH...that really stinks!! I'm getting pretty frustrated myself. :( Please post what you think of ACDSee...What version are they on?? I am pretty sure I had a trial version somewhere around here.

One quick question, I use photoshop, How do I open an image or embellishment that is in windows photo gallery? I put some photo's and embellishments in there just to play around and I cant find them when I try to open them through photoshop.

Cataloging things in Windows Photo Gallery does not move their physical location - those items are still located where they were. Unless you inadvertently moved them to another folder while you were playing around? Can you stil find them in Windows Photo Gallery? If so, display them there and then go to properties and fnd out what file they are in.
